What Is Wide Area Workflow?

Prepare for electronic invoicing, receipt, and acceptance using the contract's actual WAWF instructions.

Invoicing and acceptance support

Wide Area Workflow, commonly called WAWF, supports electronic invoicing, receipt, and acceptance in defense procurement. It is accessed within the relevant acquisition environment. Actual document and routing requirements come from the contract and official guidance.

Prepare before the first invoice

  1. 01Review the payment and invoicing clauses and instructions.
  2. 02Confirm application access and authorized roles.
  3. 03Identify the required document type, routing information, and acceptance process.
  4. 04Verify line items, quantities, prices, and performance evidence.
  5. 05Establish how submissions, rejections, and corrections will be tracked.

Avoid general routing assumptions

Do not copy identifiers or instructions from another contract. Invoices can be delayed by mismatched line items, incorrect routing, missing acceptance, or unsupported charges.

Keep authorization clear

An invoice does not authorize new scope or cure work performed without proper direction. Review changes with the contracting authority through the applicable process.

Build a repeatable review with a backup owner and secure records. Correct invoicing supports cash flow, but a submitted document is not a guarantee of immediate payment.

Official sources

Check current instructions and requirements directly with the relevant agency.
